Delete Event Definition on Close - Enabling this option has significant implications. If enabled, all event definition records and function definition records are deleted when you close the event.

If you do not enable this option, you can retain the event definition and summary records, which may be important to you when cloning events. The event remains listed on the Define an event window with a status of C for closed.

Copy Membership Type to Registrant Class - iMIS can copy the customer type code directly to the registrant class code if you need to assign fees or group registrants at the customer type level. All non-represented types map to the basic Member (M) or Non Member (NM) classes. You can directly override any system-assigned class on the Event Registration window. If you want to use customer types to define your registrant classes, you can copy the existing customer types from the Set up customer types window to the Set up registration classes window. For example, if you have a student type (customer type = STU) that you need to assign different product fees to, enter the same customer type code on the Set up registration classes window. You can select the customer types that you want to use only by entering matching codes for those types.

Enable Duplicate Registration/Registrant checking - This option compares registrants without customer IDs to the customer database. When this option is enabled and iMIS finds a customer with the same first and last name as the registrant, a warning message displays informing you that the person may already exist in the database.

Display Warning Message when Event is full - This option enables a warning message when the maximum event registration limit has been reached. This option is not related to the Wait Lists options.

Create Separate Invoices for Events Adjustments – (option only available for organizations whose Taxation Method is set to VAT) To comply with regulations related to VAT invoicing, enable this option so that new invoices are generated for financial adjustments made to event registrations. Once the original invoice is printed, then the line items, quantities, and amounts in that document will not change. With this option, every adjustment generates a new invoice document (credit note or positive adjustment), which uses the date of the adjustment, lists any credits or debits, and references the original invoice. These invoices can be viewed and printed from Events > Register a customer > Account Info tab.

Note: Enabling this option affects new event registrations only; existing registrations retain their consolidated, single invoice.

Wait Lists

Enable Function Wait Lists - This option enables the wait list for all event functions that have an entry in the Maximum field.

Choose from Wait List for opening - When this option is enabled, you can select from the wait list which registrant you want to register for a function when it becomes available.

Activity Fields

These seven mapped fields can be defined to capture and store order information in the registrant's activity records. See "To map user-defined fields to event activities" for details.

To delete an event definition on close

1.  From Events, select Set up module to open the Set up module window.

2.  Click Preferences to open the Event System Preferences window.

3.  Click Edit on the Event System Preferences window.

4.  Enable the Delete Event Definition on Close option.

5.  Click Save on the Event System Preferences window.

To copy customer type codes to registrant class codes

1.  From Events, select Set up module to open the Set up module window.

2.  Click Preferences to open the Event System Preferences window.

3.  Click Edit.

4.  Enable the Copy Membership Type to Registrant Class option.

5.  Click Save.

Note: You must have the same information on both the Set up registration classes and Set up customer types windows for the customer types to display in the Event Function Definition - Fees window.

To enable Duplicate Registration/Registrant checking

The Enable Duplicate Registration/Registrant checking option on the Event System Preferences window (Events > Set up module, Preferences) turns on duplicate checking for registrants. It may be useful if you routinely register customers who do not have records in the customer database. When this option is enabled and a suspected duplicate registrant is entered, a message appears on the Register a customer window stating that the customer is already registered for the event.

1.  From Events, select Set up module to open the Set up module window.

2.  Click Preferences to open the Event System Preferences window.

3.  Click Edit.

4.  Enable the Enable Duplicate Registration/Registrant checking option.

5.  Click Save.

To display a warning message when an event is full

1.  From Events, select Set up module to open the Set up module window.

2.  Click Preferences to open the Event System Preferences window.

3.  Click Edit.

4.  Enable the Display Warning Message when Event is full option.

5.  Click Save.
